Permission and consent
Microphone access is a device setting; recording consent is a human agreement.
iPadOS asks an app for microphone access before it records. You can review access at Settings → Privacy & Security → Microphone, and the orange status indicator helps show when the microphone is in use. That technical permission only lets the app access the microphone; it does not give permission to record a lecturer, classmates, guests, or copyrighted teaching material.
Tell the lecturer what you want to capture, ask for permission in the format your institution requires, and make it clear whether the recording will be kept, shared, transcribed, or sent to a cloud service. If someone says no, take handwritten notes without recording. Policies and laws vary by place; this is practical guidance, not legal advice.
- Do not record private conversations that are unrelated to the class.
- Do not share a recording or transcript just because the app can export it.
- Delete material you no longer need, consistent with your course policy and applicable obligations.
Privacy boundaries
Know where the audio can go before choosing a mode.
On-device live captions and translation can stay on the iPad once supported language packs are downloaded. BBNotes' cloud caption mode sends audio to Soniox for processing when internet access, sign-in, AI Data Sharing consent, and available usage are present. The two modes have different trade-offs, so choose based on the sensitivity of the lecture and your institution's rules.
BBNotes states that AI Data Sharing is opt-in and revocable. Its privacy policy explains how audio, transcripts, notes, and structured request metadata are handled; external providers have their own service terms. Read the BBNotes privacy policy before using confidential research, patient information, or restricted course material.
Review carefully
A timestamp gets you back to the moment; it does not guarantee a correct transcript.
Use the recording as context, not as an automatic source of truth. Accents, room noise, overlapping speech, specialist vocabulary, equations, and language switching can affect transcription or translation. Replay a few seconds before and after the note, compare the words with your slide or reading, and mark uncertainty instead of silently filling in a gap.
